Reconcile hotel night-audit records before reporting electricity intensity

Fictional hotel, internal counting policy: 2,000 paid + 100 complimentary = 2,100 actual occupied room-nights. The paid export omits the 100 complimentary occupied room-nights.
Original fictional hotel case, under its internal counting policy: 2,000 paid occupied room-nights in REV-01 plus 100 complimentary occupied room-nights in COMP-01 reconcile to the 2,100 actual occupied room-nights in NA-01. These records describe overnight use within the same 100-room property and the same 30 hotel-day windows, from noon on 1 June 2026 to noon on 1 July 2026 at UTC+05:30. The missing 100 are absent from the paid export; they do not represent additional physical rooms.

A fictional hotel's revenue export shows 2,000 paid room-nights. Its night-audit records show 2,100 actual occupied room-nights. Before releasing an electricity ratio, the reporting team must locate the missing 100 in the daily records and reconcile the room and guest totals.

Fix the hotel day and the case rules

This exercise covers one 100-room property from noon on 1 June 2026, inclusive, to noon on 1 July 2026, exclusive, at UTC+05:30. Each of the 30 hotel-day windows runs noon to noon, with its overnight stay assigned to that window. The electricity record covers exactly those same instants. This is an invented internal convention, not an industry default.

For this fictional display, the hotel includes paid and complimentary actual overnight room use. It keeps unavailable rooms out of its available inventory while retaining all 100 physical rooms in the electricity coverage. Every overnight occupied room has either one or two guests; there are no staff-residence, long-stay, extra-bed, third-guest or other categories. All observations are complete and correct by assumption.

Use INV-01 for each day's room status, NA-01 for actual overnight room use, REV-01 for paid stays, COMP-01 for complimentary stays and GN-01 for the nightly guests in those occupied rooms. The record IDs below are invented references. In a real reconciliation, agree the room/window key and status mapping with the record owners before joining the exports.

Reconcile each nightly population first

The records repeat within three ten-night blocks. Each line below is a per-night observation, not a ten-night total.

Nights 1–10: 100 physical rooms = 20 unavailable + 10 available but vacant + 70 occupied. The 70 occupied rooms are 65 paid + 5 complimentary, and the same 70 are 30 one-guest + 40 two-guest rooms.

Nights 11–20: 100 physical rooms = 0 unavailable + 30 available but vacant + 70 occupied. The 70 occupied rooms are 67 paid + 3 complimentary, and the same 70 are 20 one-guest + 50 two-guest rooms.

Nights 21–30: 100 physical rooms = 0 unavailable + 30 available but vacant + 70 occupied. The 70 occupied rooms are 68 paid + 2 complimentary, and the same 70 are 20 one-guest + 50 two-guest rooms.

Multiplying each block by ten nights closes the room inventory: 3,000 physical room-nights = 200 unavailable + 700 available but vacant + 2,100 occupied. The available inventory is 2,800 room-nights. No inventory residual remains in the supplied case.

REV-01 contributes (65 + 67 + 68) × 10 = 2,000 paid room-nights. COMP-01 contributes (5 + 3 + 2) × 10 = 100 complimentary room-nights. Together they match NA-01's 2,100. The 100 omitted from the paid export are now explained by actual overnight use in COMP-01.

GN-01 contributes (30 + 2 × 40) × 10 = 1,100 guest-nights for the first block, then (20 + 2 × 50) × 10 = 1,200 for each later block. Total: 1,100 + 1,200 + 1,200 = 3,500 guest-nights.

The paid/complimentary split and the one-guest/two-guest split describe the same 2,100 occupied room-nights. Adding both splits would count that population twice. Keep GN-01 linked to those occupied rooms; its 3,500 total is the person-stay check, not an additional group of occupied rooms.

Keep nonovernight records separate

The supplied context records are 30 purely daytime room-use visits, 20 unfulfilled one-night reservations, 500 daytime event attendance occasions and 900 nonresident restaurant meal covers. Under this case's explicit assumptions, none adds an overnight stay. The reservations involve no physical occupancy, even if a fee exists. Event occasions are not asserted to be unique guests.

Retain these records as context alongside the night-audit reconciliation. For real records, document actual overnight use and the treatment of each exceptional status before adapting this case. Do not infer the treatment from a property-management status label alone.

Release one labelled whole-property result

EL-01 supplies 168,000 kWh for the exact window above. It is stipulated to be complete, with no overlapping source, missing interval, onsite generation or export. Its coverage includes all 100 rooms, common and staff areas, the hotel-operated restaurant, onsite laundry serving this hotel, and meeting and event areas.

168,000 kWh ÷ 2,100 occupied room-nights = 80 kWh per occupied room-night.

Label this as a whole-property electricity diagnostic under the stated internal counting policy. The unavailable rooms remain in EL-01's coverage. Using only REV-01 would give 168,000 ÷ 2,000 = 84, omitting the 100 complimentary overnight room-nights included in this display.

The case supplies no bedroom-only submeter, service allocation or event-specific electricity measurement. It therefore supports no claim about the electricity used in an individual bedroom, by a named guest or for an event. It also supplies no comparative period or intervention evidence. No efficiency improvement, carbon-method result, total-energy figure or water measure follows.

Release the 80 figure only with the named window, EL-01 coverage and reconciled INV-01, NA-01, REV-01, COMP-01 and GN-01 schedules. For a real property, leave an unexplained room-status or occupancy difference open and resolve it before describing the display as reconciled.
