Collect manufacturing ESG records across factory functions

Give each factory a source-record map before sending a long ESG questionnaire. For every requested metric, identify the physical process, the record that captures it, the person who controls that record and the check needed before it reaches the company total. This prevents purchase invoices, stores movements and consumption logs from becoming competing versions of the same number.

This guide is for manufacturing finance, plant, maintenance, environment, health and safety (EHS), HR and procurement teams. It is a suggested evidence-handover workflow for reporting and customer requests. It does not establish BRSR applicability or replace environmental permits, statutory registers or specialist technical advice.

Start with one factory and one reporting period

Mark the legal entity, factory boundary and dates on the request. Add relevant warehouses, offices, contractor-operated activities and shared utilities for a boundary decision. Ask the reporting lead which indicators and definitions apply before departments extract data.

BRSR includes distinct energy, emissions, water, waste and workforce disclosures. Use the applicable definitions rather than a single generic “ESG total”. Source: SEBI master circular, Annexure 16, BRSR format. For BRSR Core, check the indicator-specific Industry Standards Note published by NSE alongside the current requirements.

Use the function that holds the evidence

Utilities and electrical maintenance

Request utility bills, meter exports, purchased steam or cooling records and records for on-site generation, imports and exports where relevant. Identify which meters cover production, common services and other occupants. Reconcile sub-meter readings with the main meter's coverage. Do not add the main-meter total to sub-meter consumption already included in it.

Stores and production

For fuel, request opening and closing stock, receipts, issues, transfers and adjustments in the same physical unit. Keep fuel purchased distinct from fuel consumed. For production denominators, define good output, rework and scrap consistently rather than assuming the dispatch total is the production total.

Mechanical maintenance

Build an equipment list for generators, boilers, mobile equipment and relevant refrigerant systems. Ask for fuel allocation and refrigerant service records, including gas identity and measured quantities where available. A service invoice saying “AC maintenance” does not establish a quantity of gas released.

EHS and utility operators

Map water sources, meters, wastewater routes and reuse points. Keep withdrawal, consumption and discharge schedules distinguishable. For waste, request stream descriptions, quantities, stock movements, weighbridge records and vendor handover documents. Record what each document actually evidences; collection from the gate alone does not establish final treatment.

HR and safety

Agree the employee/worker population, contractor treatment, reference date and units for each request. Link aggregated safety figures to the controlled incident system and the relevant hours or population denominator. Limit access to personal and medical records; routine reporting packs should use the necessary aggregates.

Procurement and commercial teams

Supply the relevant supplier list, material or service categories, contracts and customer questions. Flag outsourced transport, processing, warehousing and utilities so the reporting lead can decide their treatment. Retain the scope and date of any supplier declaration.

Finance and the reporting lead

Reconcile entity and site coverage, investigate missing or duplicate records, and verify denominators drawn from finance. A ledger helps test completeness, but a payment amount is not a substitute for litres, tonnes or kilowatt-hours.

This function map is Nitium's proposed workflow. Adapt it to the plant's systems and staffing; it is not a regulator-prescribed organisational chart.

Send a record with enough context to reuse it

Use these fields on each handover:

  • Entity, factory and equipment/meter/stream identifier

  • Metric definition and reporting reference, if applicable

  • Start and end dates, original quantity and original unit

  • Source system or document reference and a precise locator

  • Coverage, allocation, estimation and missing-record notes

  • Preparer, checker, status and version

  • Destination in the consolidation schedule

Preserve the original extract and put corrections in a traceable working version. Where two teams report different totals, ask which population, date range, stock movement or unit differs before choosing a number.

A hypothetical diesel reconciliation across two factories

Fictional example, not a Nitium client case. Two factories use the same diesel grade during one financial year. All quantities below are litres. Assume the stock measurements and transaction records are reliable, there are no losses, returns or other adjustments, and both factories are within the selected boundary.

  • Factory A: opening stock 6,000; external receipts 20,000; transfer to Factory B 2,000; closing stock 4,000. Consumption = 6,000 + 20,000 − 2,000 − 4,000 = 20,000 litres.

  • Factory B: opening stock 1,000; external receipts 5,000; receipt from Factory A 2,000; closing stock 1,500. Consumption = 1,000 + 5,000 + 2,000 − 1,500 = 6,500 litres.

  • Combined check: opening stock 7,000 + external receipts 25,000 − closing stock 5,500 = 26,500 litres, matching the sum of the two consumption schedules.

The 2,000-litre transfer is retained in the factory records and cancels at the combined boundary. It is not another external purchase. If the plant team supplied only supplier invoices, it would report 25,000 litres and miss the year's net stock drawdown.

Next, compare the 26,500 litres with equipment issues or other consumption evidence. Investigate differences rather than assuming the balance proves the equipment allocation. This is an activity-data example, not an emissions calculation; an emissions result additionally needs an appropriate factor, method and source classification.

Review the factory handover before consolidation

  • Do the records cover the agreed factory, equipment and period?

  • Have main meters and sub-meters been checked for overlap?

  • Are fuel stocks, inter-site transfers and adjustments reconciled?

  • Are missing periods shown explicitly instead of entered as zero?

  • Can waste stock, dispatch and treatment evidence be distinguished?

  • Do HR and safety figures use the agreed population and denominator?

  • Are estimates and unresolved technical questions visible to the reporting lead?

  • Can another authorised person reproduce a selected figure without asking the preparer to remember what happened?

Use the BRSR evidence-file guide and workbook to carry the source trail into the reporting schedule. Use the carbon inventory checklist when the next step is an emissions calculation.

Nitium supports manufacturing teams with ESG reporting inputs, data templates, inventory preparation and documented gaps. See the industry service scope or discuss a factory data-readiness project. You can also email contact@nitium.in with the factory count, reporting period and the records proving hardest to reconcile. Do not send personal employee records or confidential plant documents in the first enquiry.
